How workers would get their shift information
After Bill confirms the schedule is set, each member gets a list of the shifts recorded for them and any volunteers linked to their membership. Then, a reminder arrives about 24 hours before each shift.
Subject: Your scheduled shifts for the Columbia County Fall Fair
To: A member with one or more shifts
Your shift list
Hello Jordan,
Here are the Fall Fair shifts currently listed for you and the volunteer linked to your membership:
Jordan Example
Saturday, November 7 · Midway · 1:00–6:00 p.m.
Casey Example (linked volunteer)
Tuesday, November 10 · Main Gate · 4:45–7:00 p.m.
Please look over the list. If anything is incorrect or someone can no longer work a shift, reply to this email or call or text Bill so he can review and update the schedule.
Call or text Bill: [Bill’s phone number]
Thank you,
MACC Fair Volunteer Team
Sent once after Bill confirms the schedule is set. If a shift changes later, only the affected member would receive an update.
Subject: Reminder: Your Fall Fair shift is tomorrow
To: The member responsible for the listed signup(s)
Your shift reminder
Hello Jordan,
This is a reminder about the Fall Fair shift coming up tomorrow:
Casey Example (linked volunteer)
Main Gate
Tuesday, November 10 · 4:45–7:00 p.m.
If an emergency means the volunteer cannot make it, reply or call or text Bill as soon as possible so he can try to arrange coverage.
Call or text Bill: [Bill’s phone number]
Thank you,
MACC Fair Volunteer Team
The reminder would list only the shifts coming up in about 24 hours. The member receives it when a volunteer’s signup is linked to that member.
The plan
- Bill confirms the schedule is set.
- Each member receives their shift list, including linked volunteers.
- About 24 hours before a shift, the member gets a reminder. If there is an emergency, they reply to Bill.
The emails would use the confirmed portal schedule. We would test the process and have Bill approve the wording before sending anything to members.
